Use the programme to shape the questions

Explain whether the activity runs beside a stage programme, during a dinner, or as part of a school or family-day event. Ask how guests join, whether they remain at the station, what materials they use and how the completed work is handled. Confirm the activity time and operating capacity for the selected station rather than guessing from a photo.

For a mixed-age group, ask about the actual activity's suitability, supervision and any material precautions. Do not assume all activities are suitable for all ages or that a volunteer can replace the artist or operator.

Check the venue setup

Ask how much station space is needed, which tables and chairs are required and what the team supplies. Tell the team about venue restrictions on wet materials, glitter, balloons or other materials. If you want a roving activity, ask whether that arrangement is available for the selected item rather than assuming it.
