Headcount is not portions
An event with 200 guests does not necessarily mean 200 popcorn servings. Some guests skip a station entirely; others return for a second helping. When you enquire about a food station, state the number of portions you want served, not the headcount on your invitation list. Give the team requested portions and the food-service window alongside the guest headcount so the enquiry is specific.
Specify your food service window
Your food service window is the period during which a station is actively serving, not the total event duration. A three-hour carnival with food available from 11am to 1pm has a two-hour food window. A dinner and dance with a dessert station open for 45 minutes after the main course has a 45-minute window. State both the total event times and the food service period so the quotation covers the right operating hours.
Published maxima, not guaranteed throughput
Many items in the food station catalogue publish a serving format, hourly maximum and crew count. There are exceptions: Chocolate Fondue lists a minimum quantity and no crew, but no hourly rate. These published figures describe a catalogue maximum for one station, not a guaranteed throughput at every event. Queue patterns, serving complexity, setup conditions and crew performance all affect what actually happens on the day. Use the published rate as a reference point for your enquiry, then confirm the arrangements in your quotation.
Compare your numbers
Requested average servings per hour = requested servings × 60 ÷ serving minutes. For example, 100 servings over 30 minutes requests 200 servings per hour. That exceeds the published maximum of 100 per hour for one Popcorn station; it does not establish how many stations are available or appropriate.
Select a menu item, enter the total servings you want and the service window in minutes. The planner computes the average servings per hour you are requesting and compares it with the item's published catalogue maximum. This is arithmetic, not an operational commitment.

Questions about the planner
Is the published serving rate a guaranteed capacity?
No. The catalogue rate is a published maximum for one station. Actual throughput depends on crew, setup, queue pattern and conditions. The planner compares arithmetic only; confirm arrangements in your quotation.
Why should I specify servings instead of guest count?
One hundred guests does not mean one hundred servings. Some guests skip a station, others return for seconds. State the number of portions you want served, not the number of people attending.
What if my requested rate exceeds the published maximum?
The planner flags when your average requested rate exceeds one station's catalogue maximum. Discuss the quantities, a longer service window or additional arrangements with the team.
Does the planner account for chocolate fondue which has no hourly rate?
Chocolate Fondue is listed with a minimum of 30 servings and no crew, but no published hourly rate. The planner shows your requested average and states that no published hourly comparison is available for this item.
