Corporate Event Proposal Template

Before you contact a vendor, your event needs internal buy-in. This template structures the proposal an HR team, department head or procurement committee needs to approve the budget and scope. It is not a vendor enquiry or a day-of-event run sheet.

What this template is for

This is an internal proposal for presenting a corporate event plan to management, HR leadership or a procurement committee. It covers objectives, audience, programme outline, a rental shortlist, budget summary, responsibility assignments, approvals and open questions. Adapt it to your organisation's approval process.

For vendor contact after approval, use the event enquiry builder. For day-of-event operations, see the station rotation planner or emcee script guide.

  • Dietary requirements: How are dietary restrictions collected and communicated to the food vendor?
  • Children's safety: If children attend, who provides supervision at activity stations? Confirm arrangements with the vendor.
