Before you start: know the formats
BounceParkSG lists three photo booth models: Standard Photobooth, AI Cartoon Photobooth and 360 Photobooth. Standard and AI Cartoon produce prints; 360 produces videos. Each has different inclusions. Read the format comparison guide to understand which output suits your event before working through this checklist.
This checklist is a practical organiser tool. It does not replace the vendor quotation or guarantee any specific inclusion, capability or policy not published in the catalogue.
Artwork and branding brief
If your event needs a branded print layout, backdrop or overlay, first ask whether the selected model supports it. Prepare these details so the team can assess the request:
- Company logo file: provide a high-resolution vector or PNG with transparent background. Note any colour restrictions (e.g. logo must appear on white, no cropping).
- Event name and tagline: the exact wording you want on the print layout or backdrop.
- Brand colour codes: hex or Pantone references so the design matches your corporate identity.
- Approval workflow: who in your organisation signs off the final artwork proof and by what date? Agree this internally, then ask the vendor about its available proof and approval process.
Do not assume the vendor will add company logos, custom overlays, QR codes, lead-capture features, digital sharing, guest galleries or data-retention tools unless these are explicitly listed in the catalogue for your selected model or confirmed in your quotation. If you need a specific digital output or post-event asset, ask about it directly.
Output and prints
Confirm exactly what each guest receives:
- Print format: Standard and AI Cartoon list unlimited prints during the booked operating hours. Confirm the print size and layout (strips, postcards, single frames) with the vendor for the model you choose.
- Digital copies: ask whether digital files of each photo are provided and in what format. This is not listed as a default inclusion for every model.
- 360 video delivery: 360 Photobooth produces videos, not prints. Confirm how guests receive their video (e.g. QR code, email, AirDrop) and whether there are file-size or format constraints.
Event timing and operating hours
Photo booth operating hours affect the quotation. Prepare these details:
- Event date and day of week
- Requested operating start and end time: this is the window during which guests use the booth, not the event start time
- Setup and teardown window: confirm with the venue how much time is available before and after the operating period for the crew to set up and dismantle
- Programme placement: will the booth run throughout the event, or only during a specific segment (e.g. cocktail hour, post-dinner)?
See what changes your quote for how timing, location and add-ons influence rental pricing.
Venue access and space
Photo booths need floor space, power, ceiling clearance and an access route for equipment. Check with your venue manager:
- Floor area available: measure the specific area where the booth will sit, including space for a queue
- Ceiling height: relevant for backdrop stands and lighting rigs
- Power supply: confirm the number and location of power points near the booth area. Extension cords may be needed.
- Loading access: can the crew bring equipment through the main entrance, or is there a loading bay with a goods lift?
- Noise and lighting restrictions: some venues restrict flash photography, loud music or changes to house lighting
Permissions and approvals
These are questions for the organiser and venue, not vendor commitments:
- Photography consent: will all guests consent to being photographed? If not, how will you handle opt-outs? Agree who handles this with your organisation and the booked provider.
- Venue photography rules: some venues require a photography permit or restrict tripods and lighting equipment
- Children and minors: if children attend, who provides consent for their photos? Discuss the appropriate arrangements with your organisation before the event.
- Use of images after the event: decide whether your company intends to use event photos in marketing materials and communicate this to attendees. Confirm intended image use, storage and responsibilities with your organisation and any relevant providers.
Quotation checklist
When you receive a quotation, confirm these items match your brief:
| Item | What to check |
|---|---|
| Model | The specific photo booth model quoted matches the one you selected |
| Operating hours | Start and end time, and whether overtime rates apply |
| Inclusions | Manpower, backdrop, props, prints or videos as published for that model |
| Artwork | Number of design revisions, proof approval deadline, who supplies the final files |
| Delivery and setup | Delivery charge, setup time, teardown time, loading arrangements |
| Add-ons | Any extras not in the standard listing: custom props, additional prints, specific digital delivery |

Sending your enquiry
Once you have completed the checklist, use the event enquiry builder to draft your WhatsApp message with venue details, date, headcount and selected model. Include your artwork files or a link to them so the team can quote accurately.

Frequently asked questions
Prepare your logo file, exact event wording and brand colour references. Identify who approves the artwork and the requested deadline. Ask whether the selected model supports the branding you need and what proof, file-format and revision arrangements the quotation includes.
Not necessarily. Standard and AI Cartoon Photobooth list unlimited prints. Digital file delivery is not listed as a default inclusion for every model. Ask the vendor directly whether digital copies, specific file formats or sharing features are available for your selected model and confirm this in the quotation.
Agree responsibility for guest permissions, opt-outs and any intended image use with your organisation and the booked provider. Include arrangements for children where relevant, and check venue photography rules. This checklist does not establish a vendor consent, storage or sharing policy.
